Onboarding Terms & Conditions
These Onboarding Terms govern the process of implementing the TwikPMS platform and associated services provided by Webonweb. Our goal is to ensure a smooth transition from your legacy system to our modern, cloud-based ecosystem.
1. Onboarding Phase 1: Compliance & Validation
The onboarding process begins only after the successful completion of the following administrative milestones:
- Contract Execution: Signing of the service contract by both parties.
- KYC (Know Your Customer): To comply with global financial regulations and ensure secure payment facilitation, the Property must provide all requested documentation regarding business ownership, banking details, and tax registration.
- Onboarding Activation: Once KYC is approved, your dedicated TwikPMS instance is provisioned on our platform.
2. Onboarding Phase 2: TwikPMS Setup
TwikPMS offers a unified implementation flow for all partners. We do not use tiered onboarding packages; instead, we focus on a comprehensive setup tailored to your property's specific needs.
- Configuration: Setting up room types, rate plans, user permissions, etc.
- Data Migration: The Property is responsible for providing clean data from legacy systems. Webonweb will assist in the technical import of these records into TwikPMS.
- Training: We can plan online guided sessions in preparation of going live if needed.
3. Onboarding Phase 3: StayforRewards & Website Services
As part of the Webonweb ecosystem, properties may choose to utilize the StayforRewards booking engine.
- Optional Website Provisioning: Upon request, Webonweb can design and host a property website integrated with the StayforRewards engine.
- Ownership: Any website created by Webonweb under this agreement remains the exclusive intellectual property of Webonweb. The Property is granted a license to use the site for the duration of their active subscription.
- Delivery Timeline: While Webonweb will make every reasonable effort to deliver the website within one (1) month of the TwikPMS Go-Live date, this timeframe is an estimate and not a strict legal deadline. Delivery is subject to the timely provision of high-quality imagery and content by the Property.
4. Go-Live and Onsite Support
The "Go-Live" date is the first day the Property utilizes TwikPMS for live operations and guest management.
- Remote Support: Our team provides intensive remote monitoring and support during the first 24 hours of operation.
- Onsite Presence: At its sole discretion, Webonweb may provide a representative to be onsite for the first day of operation to assist with staff transitions. However, onsite presence is not a requirement of the onboarding contract and is subject to availability and prior mutual agreement.
5. Travel and Accommodation Expenses
Travel and accommodation expenses incurred by Webonweb or its representatives in connection with onsite assistance are not included in the onboarding fees.
- Partner Costs: The Partner is responsible for any travel and accommodation expenses incurred by their own team.
- Reimbursement: The Partner agrees to reimburse Webonweb for reasonable travel and accommodation expenses related to onsite services. This includes travel arrangements (flights, trains, car rentals), accommodation if not provided by the Partner, and up to €100 per day per person for meals if not provided by the Partner.

Changes to these Onboarding Terms
Webonweb may update these Onboarding Terms at its discretion. We will notify you of any material changes before they take effect. Continued use of the services after changes become effective constitutes acceptance of the updated terms.
